Item Procurement Form

Item Procurement Forms help you track donated items before they are entered as auction items or packages with catalog numbers. These forms can be attached to donated items as they are received, making it easy to organize and update item information throughout the procurement process.

💡 Good to Know: This report can be found under Resources → Auction Resources → Item Procurement Form.


In the Item Procurement Form Popup

Use the popup to choose which procurement forms you would like to print.

1. Choose Which Forms to Print

Select one of the following options:

    • All Procurement Numbers – Prints a form for every procurement item in the system.
    • Range of Procurement Numbers – Prints forms for a specific range of procurement numbers.

💡 Good to Know: To print a single procurement form, enter the same procurement number in both the From and To fields.


2. Select how many per page

  • Available options include:
    • One Form Per Page
    • Two Forms Per Page

💡 Good to Know: Printing two forms per page can help save paper when preparing multiple procurement forms.


3. Print the Forms

  1. Click Print.
  2. Review the print preview.
  3. Print or download PDF of the procurement forms.

💡 Good to Know: The forms automatically populate with any information already entered in the system, making it easy to continue updating items as additional information becomes available.


4. Use the Procurement Forms

After printing:

    • Attach each form to its corresponding donated item.
    • Use the form to record additional information as needed.

⚠️ Important: Procurement Forms are designed for use before catalog numbers are assigned. Once an item has been cataloged, continue managing it from the Auction Items area.

How to Print This Guide

  1. Right-click on the image of the guide
  2. Select Save Image As…
  3. Save the file to your computer
  4. Open the saved image
  5. Click Print (or use Ctrl + P / Command + P)

💡 Good to Know

For best results, print using Full Page or Fit to Page settings to ensure proper sizing and clarity.
