Auction Item List
The Auction Item Report provides three spreadsheet options for exporting auction item information. You can generate a basic item list, include donor contact information, or include solicitor contact information. These reports are useful for reviewing item data, communicating with donors or solicitors, and performing auction planning outside of MaxGiving.
💡 Good to Know: This report can be found under Reports → Auction Reports → Auction Item Report. All three report options export in Excel format only.

In the Auction Item Report Popup
The Auction Item Report popup includes three report options:

- Simple Spreadsheet of All Items
- Simple Spreadsheet Including Item Donor Contact Details
- Simple Spreadsheet Including Item Solicitor Contact Details
Simple Spreadsheet of All Items
This report exports a spreadsheet containing the core information for every auction item.
The spreadsheet includes:
- Procurement Number
- Catalog Number
- Item Name
- Fair Market Value (FMV)
- Starting Bid
- Bid Raise
- Buy Now Price
- Charity Cost
- Item Category
- Auction Type
- Donor
- Donor Contact
- Solicitor
- Restrictions
- Description
- Taxable Status
💡 Good to Know: This option is ideal for reviewing or editing auction item information outside of MaxGiving.
Simple Spreadsheet Including Item Donor Contact Details
This report includes all of the information from the Simple Spreadsheet of All Items, plus donor contact information.
Additional donor information includes:
- Donor Contact Name
- Address
- City
- State
- ZIP Code
- Email Address
- Phone Number
💡 Good to Know: Use this report when you need to contact donors about donated items, certificates, pickup arrangements, or acknowledgements.
Simple Spreadsheet Including Item Solicitor Contact Details
This report includes all of the information from the Simple Spreadsheet of All Items, plus solicitor contact information.
Additional solicitor information includes:
- Solicitor Name
- Address
- City
- State
- ZIP Code
- Email Address
- Phone Number
💡 Good to Know: This option is useful when communicating with item solicitors about procurement status or following up on donated items.
Export the Report
After selecting the desired report option, click Print to generate the spreadsheet.
💡 Good to Know: All three report options generate an Excel spreadsheet. PDF output is not available for this report.

How to Print This Guide
- Right-click on the image of the guide
- Select Save Image As…
- Save the file to your computer
- Open the saved image
- Click Print (or use Ctrl + P / Command + P)
💡 Good to Know
For best results, print using Full Page or Fit to Page settings to ensure proper sizing and clarity.
