Table Seating Reports

Table Seating Reports provide several ways to view your seating assignments. Use these reports to review table occupancy, print guest seating lists, and verify seating arrangements before your event.

In the Table Seating Reports Popup

The Table Seating Reports popup includes three report options:

    • Table Occupancy Report
    • Guest Seating Report by Table
    • Seating Report by Guest Name

Table Occupancy Report

The Table Occupancy Report provides a quick summary of how many seats are occupied at each table.

  1. Select Table Occupancy Report.
  2. Click Print.

The report displays:

    • Table Number/Name
    • Number of Occupied Seats
    • Number of Seats Remaining

Guest Seating Report by Table

The Guest Seating Report by Table lists guests grouped by their assigned table.

  1. Select Guest Seating Report by Table.
  2. Choose how to sort the report:
    • Table Number
    • Table Name
  3. (Optional) Enable Page Break Between Tables to print each table on its own page.
  4. Click Print.

The report displays:

    • Unseated guests
    • Table Number/Name
    • Guests assigned to each table (with Bid #, Entree Option and Purchaser)

πŸ’‘ Good to Know: Printing each table on a separate page makes this report ideal for placing at registration or giving to table hosts.

Seating Report by Guest Name

The Seating Report by Guest Name creates an alphabetical list of all seated guests.

  1. Select Seating Report by Guest Name.
  2. Click Print.

The report displays:

    • Guest Name
    • Purchaser
    • Bid Number
    • Table Number/Name
    • Entree Option
    • Ticket level

πŸ’‘ Good to Know: This report is helpful for quickly locating a guest's assigned table during check-in.

After generating any Table Seating Report, you can:

    • Print the report.
    • Download the report as:
      • PDF
      • Excel

πŸ’‘ Good to Know: Excel reports are ideal for sorting and making last-minute seating adjustments, while PDF reports are great for printing and sharing with volunteers.

How to Print This Guide

  1. Right-click on the image of the guide
  2. Select Save Image As…
  3. Save the file to your computer
  4. Open the saved image
  5. Click Print (or use Ctrl + P / Command + P)

For best results, print using Full Page or Fit to Page settings to ensure proper sizing and clarity.
