Guest List Reports

Use Guest List Reports to view guest attendance information, export guest data, and identify guests who are no longer attending your event.

πŸ’‘ Good to Know: Each report can be downloaded or printed using the options at the top of the report window.


Access Guest List Reports

  1. Go to Reports
  2. Select Event Resources
  3. Click Guest List
  4. Choose the report you would like to generate

Excel Guest List

Use this report when you need guest information in a spreadsheet format for sorting, filtering, or importing into other systems.

  1. Select Excel Guest List
  2. Select the guest information you want included in the report
  3. Click Print to download spreadsheet
    • Spreadsheet will be downloaded to you computer automatically.

πŸ’‘ Good to Know: Excel exports are helpful for creating custom lists, seating assignments, and mail merges.

Available options include:

  • Bid Number – Guest's assigned bid number
  • RSVP Level – Reservation or sponsorship level
  • Table Name – Assigned table name
  • EntrΓ©e – Guest's selected entrΓ©e
  • Table Number – Assigned table number
  • Spouse/Partner – Linked spouse or partner information
  • Phone – Guest phone number
  • Ticket Purchaser – Indicates who purchased the reservation
  • Email – Guest email address
  • CC on File – Indicates whether a credit card is on file
  • Address – Guest mailing address
  • Notes – Notes entered on the guest record
  • Online Bidding – Indicates whether the guest is registered for online bidding

Include Bidders Without Tickets

Turn on Include Bidders Without Tickets to include registered bidders who do not have a reservation or ticket assigned.

πŸ’‘ Good to Know: The Excel Guest List is fully customizable, allowing you to include only the information needed for check-in, seating, reporting, or volunteer use.


PDF Guest List

Use this report when you need a printable list of guests attending your event.

  1. Select PDF Guest List
  2. Select the guest information you want included in the report
  3. Click the Print
    • Export and Print Options
      • Select the printer icon to print the report
      • Select the Buttons in top right to download and save the report in excel or PDF

πŸ’‘ Good to Know: This report is commonly used by registration and check-in volunteers.

Available options include:

Name Format

Choose how guest names should display on the worksheet.

Available options include:

  • First Name Last Name
  • Last Name, First Name

Guests Not Attending

Use this report to identify guests who are no longer attending the event.

  1. Select Guests Not Attending
  2. Click print to view the report
    • Export and Print Options
      • Select the printer icon to print the report
      • Select the Buttons in top right to download and save the report in excel or PDF

πŸ’‘ Good to Know: This report is helpful when reviewing attendance changes and updating seating arrangements.

⚠️ Important: Guests listed in this report have been marked as not attending and should not be included in final attendance counts.

How to Print This Guide

  1. Right-click on the image of the guide
  2. Select Save Image As…
  3. Save the file to your computer
  4. Open the saved image
  5. Click Print (or use Ctrl + P / Command + P)

For best results, print using Full Page or Fit to Page settings to ensure proper sizing and clarity.
