Removing and Editing Additional Guest Reservations

This will walk you through how to edit, replace or delete guests purchased by another guest.

There are 2 ways to edit or delete a guest from a purchasers reservation list, you can either :

  • Remove Guest RSVP and Charge Completely
  • Replace with Another Guest

Both ways start the same way:

1. In the  Dashboard under All Supporters, find the purchaser of the ticket(s) - you can use the boxes to filter searches.

2. Find your individual

3. Click the Edit Pencil to enter their record.  

Guest changes will be made under the  Additional Guest Reservations of the purchaser.

1.  Remove Guest RSVP and Charge Completely: Remove this guest's RSVP level and the charge for this ticket from the purchaser’s statement.

If you are replacing the generic guests (Guest of 1) do not follow these instructions, find the generic guests under the Guest and Registered bidders list by searching for purchaser's last name or RSVP Paid by - then simply replace Guest of 1 with a person, not in the system.

a. Click on the X next to the guest you wish to remove from the purchaser.

b. Select Remove Guest Reservations and Charge from Statement

** Deleting a guest from the Additional Guest Reservations Tab - Will not delete guest from Constituent Database. It also will not delete if they have registered for mobile bidding or placed a Credit Card online, they will still keep that information and be able to participate in the event. They will just no longer have an RSVP level.

If you wish to delete guests from the Constituent list, you will need to delete them after removing them from the Additional Guest Purchase. Here is the help guide to help with removal of a Constituent: https://maxgiving.helpscoutdocs.com/article/50-deleting-a-constituent

c. Click Submit

Your guest will no longer be on the purchaser's Additional Guest Reservations Tab and the Ticket/RSVP will be removed from the purchaser.

2. Replace Guest: This will leave the ticket charged to the purchaser and allow you to replace the guest.

a. Click on the X next to the guest you wish to remove from the purchaser.

b. Select Remove Guest Reservation and Replace with Another Guest

c. Choose how you wish to replace guest:

1. Assign Reservations to an existing contact

2. Create a new contact to assign to the Reservation

3. Keep Reservation, but guest is to be determined (eg. Guest of)

d. Click Submit

Your change will now be reflected in the purchaser's guest list.

*Deleting a guest from the Additional Guest Reservations Tab - Will not delete guest from Constituent Database. It also will not delete if they have registered for mobile bidding or placed a Credit Card online, they will still keep that information and be able to participate in the event.
