Turning a Ticket Purchase into a Donation

There are times when a guest will choose not to attend the event but rather than ask for a refund they will offer to make it a donation.  This is easy to do in your site but in order to keep the statement balanced you will need to follow these steps.


First you will want to remove the ticket purchase-
1. Select Guest and Bidders from the dashboard menu.
2. Once in the Guest and Biddersfind the guest in the contact list.
3. Click on the pencil to the far right of the guest’s name to access their record.
4. In the guests record use the drop down to remove the RSVP Level by selection “Select Reservation Level”.
  • If they purchased additional tickets and will not be using those also you can remove those by clicking on the Additional Guest Reservations tab at the top and then clicking the “X” next to the tickets they will not be using.

5. Make sure you finish by clicking the Update Button at the bottom of the page.

After removing the ticket or tickets from the guest's statement they will now have an overage since payment has already been made.  You can see this overage by selecting pre-event statements from the dashboard menu, once in the page click on the overpayments tab, you will find your guest on this list. You can see their statement by clicking on the statement icon in the middle of the guests line. Make note of the amount you need to make a donation for.


You will then need to add a  pre-event donation in the overage amount-
1. Select  Donations Pledged  in the dashboard menu.
2. Click on the blue “Enter Donation by Name” words at the bottom of the form.
3. In the popup Select the guest’s name from the dropdown.
4. Click the button next to the amount of the donation or enter the amount in the custom amount text box.
5. Click the submit button.

Adding a donation using this feature makes the donation a pre-event sale so it will fall onto the pre-event statement and allow the ticket payment to be applied to it. You can now go see if the guests statement is balanced by selecting pre-event statements from the dashboard menu, once in the page find your guest on the list. You can see their statement by clicking on the statement icon in the middle of the guests record line
