Setting Up Sponsorship Levels

To setup your sponsorship levels, select Reservations and Sponsorships Levels from your dashboard menu under Event Tickets.

1. Add Sponsorship Button:  Click here to open up the Add Sponsorship Page

a. Name: Use the text box to enter the name of the sponsorship you would like to offer

b. Price:  This is what you want to charge to purchase the sponsorship and should include costs for any reservations included in the total amount. 

c. Fair Market Value: Is the total monetary value of any perks they receive with the purchase of the sponsorship.  This will allow the purchaser to know the value they are getting for the sponsorship and will be displayed on statements for tax purposes. 

d. Quantity Available:  This is how many of this type of sponsorship you are offering.  If you have a limited quantity, this will stop sales and mark the level as sold out once reached.  If the number is unlimited, you must still enter a number, so enter one that is high enough that it would never be reached. You can always adjust these numbers up or down as needed.  Any sponsors manually added in the dashboard view Sponsors, will also subtract from this quantity to help manage inventory.

e. Include reservations with Sponsorship: Select this if there are reservations included with the purchase of the sponsorship.  When the box is clicked a Quantity Included text box will appear, for entry of the total number of tickets or guests that should be included. By doing this it will allow capture of contact information for the entered number of guests at time of ticket purchase. 

f. Auto Assign Table for sponsorship guests:  If selected, when a Sponsor purchases the table, it will automatically create a table and seat guests at the table.  

g. Description:  This is a rich text box you can use to let the supporter know all that is offered with this sponsorship. **Click here for the Text Rich Box help guide: https://maxgiving.helpscoutdocs.com/article/42-using-the-rich-text-boxes

h. Action Boxes: 

  • No Longer Available: Leaves the ticket level on the site, where the guest would normally choose their quantity will now say “ No Longer Available” thus not allowing them to be purchased.  
  • Hidden: This will hide the ticket choice from the page, but you will still be able to access it from the dashboard.

***Remember to click save when done.

**Once a sponsorship purchase is made, that sponsor is added to the Dashboard,  the system will automatically select all pages to be displayed, so you will need to manually change these selections for which pages you would like them recognized on.

3. Sponsorship/Reservation Levels: Below the buttons, you will see two sections the top section displays the sponsorship levels you have created and the bottom section displays the reservation levels you have created.

a.  To reorder the sponsors: You can use these drag-and-drop icons to move around the order of your sponsors. Click on the icon and pull them to where you would like them to be.

b. Hidden Checkbox: Check this box to have this level hidden on the ticket page, but you will still be able to access it from the dashboard.

c. No Longer Available: Check this box and leave the ticket level on the ticket page, but where the guest would normally choose their quantity will now say “ No Longer Available” thus not allowing them to be purchased. 

d. To edit a level: To edit an existing level simply click on the Pencil Icon next to the level you would like to edit.  When you click the pencil you will see the form at the top auto populate with the saved info ready for editing.
