Inviting Guests to Complete Auction Registration


In all platforms but Online Only Bidding platform and My Simple Auction platform you have the ability to send a personalized login invitation link to your guests.  These can be sent to anyone that has a bid number/ticket level assigned to them, as well as either a phone number or email address.

Once you have your guest list in the MaxGiving site you have 3 choices on how you can send this invite.  


***Remember this is not available on the Online Auction Only and the My Simple Auction Platform.


  1. Mass Email Invite: You can send a mass email to all guests with an email on file.  Please make sure you have assigned all bid numbers, as these are required for a link to be generated.  Bid numbers can be re-assigned before your event -how to set bid numbers
    1. Click on Guests & Registered Bidders from the Dashboard menu.
    2. Then simply click on the Send Login Links button at the top right hand corner.

    3. In the popup click on “Send all unregistered guests a link” 
    4. Click the Preview Email & Send Invitations button.

    5. Once you click on the Button the  Email Preview popup will appear.  In this popup you can customize the email that will be sent to your guest. You can not only change the text portion, you can also change the subject and the from email if you like.  **Please remember to not remove the <insert guestslinks/> as this is what sends your guest their personalized link.


  1. Single Guest Invitation: You can send a single invite to your guests one at a time, doing it this way allows you the option of sending the invite via email or text. 
    1. Click on Guests & Registered Bidders from the dashboard menu.
    2. Once in the All Constituents Page, click on Guests & Registered Bidders at the top of the page.
    3. Find the guest you would like to send invite to and simply click the Send Link  button to the right.  **The Send Link button will only be visible for guests who have not registered online.  IMPORTANT The date you send the invite will be listed beneath the Send Link button once sent, so you do not duplicate sending.
    4. In the popup select how you would like to send the invite to this guest either Email or Text.   Text Message Reads:

      Welcome to “Your Event” Click here to update your information and complete your registration: Https://personallink.com **Text is not customizable.

    5. If you choose Email, you will be given a popup to customize the outgoing email.

  1. Once you have sent the invite it will then show the date it was last sent under the Send Link button.


  1. Purchaser Invite:  You can use this type of invite to send an email to the purchaser of either a table or multiple other tickets, to then have them send the registration invite link to their guests.  This will help you gather the guest list and have "guest of" guests compete their own profiles. **These are one use only links, so once it is used any changes would need to be done by you.
    1. In either All Supporter or Guest & Registered Bidders find the purchaser you would like to send the guest links too. Click on the edit pencil to the far right.
    2. Once you are in the purchaser's record click on the Additional Guest Reservations tab at the top of the page.
    3. Then click on the Send Guest Reservation Links button.

    4. In the pop up click the Preview Email & Send Links button.

    5. Once you click on the Button the Email Preview popup will appear.  In this popup you can customize the email that will be sent to your guest.
