Event Day/Night Preparation

Preparing before your event can help ensure a smooth check-in, bidding, checkout, and payment experience. Use this checklist to review important settings and reports before guests arrive.

💡 Good to Know: Many event-night issues can be avoided by reviewing your settings and testing workflows before the event begins.


Create Additional Event Logins

  1. Create additional Admin, Registration, and Kiosk logins as needed for staff and volunteers.
  2. Assign the appropriate role for each volunteer.
  3. Test each login before event day.

⚠️ Important: To create a generic password, copy the setup link from the user record, open it in an Incognito/Private browser window, and set the password manually.


Review Dashboard Warnings

  1. Go to your Dashboard.
  2. Review all warning messages displayed at the top of the page.
  3. Resolve any outstanding issues before the event begins.

Common warnings include:

  • Missing Starting Bid amounts
  • Missing Bid Raise amounts
  • Missing Buy It Now pricing
  • Donor overpayments
  • Missing bid numbers

💡 Good to Know: Missing Starting Bid, Bid Raise, or Buy It Now values can cause issues with online bidding.


Verify Auction Closing Times (Mobile Bidding Only)

  1. Go to Auction Settings.
  2. Open the Online Auction Settings tab.
  3.  Verify the Auction Start and Auction End dates and times.
  4.  Verify the overall auction closing time.
  5.  Review each Auction Type.

💡 Good to Know: Both Auction Type close times and Overall Auction Settings should be reviewed before event day.

⚠️ Important: Incorrect close times may cause auctions to close earlier or later than expected.


Review Guests and Bidders

  1. Review your guest list.
  2. Search for duplicate contacts.
  3. Merge duplicate records before the event.

💡 Good to Know: Cleaning up duplicate guest records helps prevent registration, bidding, and checkout issues.


  1. Verify that registration invitations have been sent.
  2. Encourage guests to complete registration before arriving.
  3. Confirm guests have received their event links.

💡 Good to Know: Guests who register before arriving typically experience a faster check-in process.
